Concludo Terms of Service

Last updated: 23 September 2026

These terms are a contract between you and Concludo Pty Ltd. Please read them. If you do not agree with them, do not use the website or buy anything from us.

1. Who we are: Concludo Pty Ltd

Concludo Pty Ltd, ACN 701 605 898, ABN 61 701 605 898, of Suite 329, Level 3, 98 to 100 Elizabeth Street, Melbourne VIC 3000. In these terms, Concludo, we and us mean that company. You and your mean the person or organisation using the website or buying from us.

Contact: hello@concludo.au

2. What these terms cover

These terms apply to:

  • your use of the Concludo website,

  • any free resource, guide, template or tool we make available,

  • any product, licence or subscription you buy from us, and

  • the Concludo workspace, once it is open to you.

If we give you a separate written agreement for a particular product, for example an organisation licence, that agreement applies to that product and these terms apply to everything else. Where the two conflict, the separate agreement wins for the product it covers.

3. Your account

Some parts of Concludo require an account.

You must give accurate details, keep your password confidential, and tell us promptly at hello@concludo.au if you think someone else has gained access. You are responsible for what happens under your account.

You must be at least 18 years old and, if you are using Concludo for an organisation, you must be authorised to accept these terms on its behalf.

4. What you may use Concludo for

You may use Concludo for your own business or professional purposes, and to produce documents for your own clients and colleagues.

Where you buy a licence for an organisation, the number of people who may use it is the number stated at purchase.

5. What you must not do

You must not use Concludo to:

  • process a conversation you did not have the right to record or take notes of,

  • process material obtained by deception, coercion or unlawful surveillance,

  • build a record about an individual person's performance, behaviour or conduct,

  • attempt to obtain a score, ranking or measure of any individual, or to reconstruct one from our outputs,

  • present our output as board minutes, legal advice, a compliance assessment or a professional opinion,

  • present our output as your own unaided professional work where a client is relying on your professional judgement,

  • upload material you are contractually or legally barred from disclosing,

  • attempt to bypass a confidentiality control, a consent gate or an access restriction,

  • reverse engineer, copy, scrape or resell the service or our materials,

  • claim to be certified by, accredited by, approved by, or a partner of Concludo.

If you breach this clause we may remove content, suspend your access, or close your account. Where we can, we will tell you first and give you a chance to put it right. Where the breach involves unlawfully obtained material or risk to another person, we may act immediately.

6. Your content

You keep ownership of everything you give us, including transcripts, notes, recordings and the documents Concludo produces from them. We do not claim ownership of it.

You give us permission to store and process that material only so far as we need to in order to provide the service to you, and for no other purpose. That permission ends when you delete the material or close your account.

Data Processing Agreement for Teams: Where an organisation or team subscribes to the Concludo Workspace or Pro Edition bundles, Concludo acts as a data processor on your behalf. We process transcript and meeting text solely on your documented instructions and to deliver the Workspace services. We maintain AES-256 encryption at rest and encrypted data in transit using TLS, enforce database-level row isolation between organisations, ensure no individual scoring or tracking occurs, and ensure all personal data and customer transcripts are deleted within 30 days of subscription termination or account closure, except records we must keep by law, such as tax invoices and payment records. Sub-processors engaged to provide the infrastructure comprise Stripe (payments and billing), Supabase (cloud database and authentication), GitHub Pages (static application hosting), and Google Workspace (email communication), located outside Australia, as listed in our Privacy Policy. In the event of a confirmed personal data breach affecting your team data, Concludo will notify the account owner without undue delay and assist in meeting applicable breach reporting obligations under Australian privacy law. General information only; subject to formal solicitor review.

7. Your warranty about transcripts and recordings

You may only upload a transcript, recording or note of a conversation if you have the right to do so.

By uploading, you confirm that:

a. the conversation was recorded or noted lawfully under the law of the place where it happened, including the surveillance devices or listening devices legislation of the relevant Australian state or territory,

b. every person whose words appear was told the conversation was being captured, or an exception in that legislation applies,

c. you are permitted to disclose the contents to Concludo for the purpose of producing documents from it, and

d. you have complied with any privacy obligation you owe to the people in it.

Australian recording law is not uniform. Some states require every participant to consent. Others require only one. Most of these laws also make it a separate offence to pass on a recording of a private conversation, even where making it was lawful. You are responsible for knowing which rules apply to you. Our consent materials set out the position for each state and territory as general information. They are not legal advice.

If you tell us, or we reasonably believe, that material was obtained unlawfully, we may remove it, suspend your access, and decline to produce documents from it. We will tell you why.

8. What Concludo produces, and its limits

Concludo produces working documents from what was said in a conversation. It records observations and findings as stated and attributed.

Concludo does not give legal, financial, accounting, tax, medical or professional advice, and its output is not a substitute for any of them.

Concludo does not produce board minutes. Minutes are a governance instrument with legal weight. Concludo produces working records and briefing papers for review.

Concludo does not assess compliance, interpret statutory obligations, or rate the effectiveness of anyone's internal controls.

Concludo does not measure, score or rank any individual person.

Every Concludo document requires review by a qualified person before it is relied on or sent to anyone. Where Concludo has inferred something rather than found it stated, the document says so, and an inference is not a fact.

Concludo does not compare your meetings to any other organisation, to an industry average, or to any external standard. No such comparison is available, and any figure Concludo shows is drawn from your own records and your own inputs.

Automated processing, including artificial intelligence, is used to produce these documents. It can make mistakes, miss things and misattribute statements. That is why review is required.

9. Prices, trials and renewal

Prices are shown in Australian dollars and are the total amount payable for the product described.

Subscriptions. Where you buy a subscription, it renews automatically at the end of each billing period until you cancel. We will tell you the renewal date and the amount before the first charge, and before any price change.

Trial access. Where trial access is offered, it converts to a paid subscription at the end of the trial period unless you cancel first. We will tell you the conversion date and the amount before you enter any payment details, and we will remind you at least 3 days before the first charge.

Organisation licences and subscriptions. Where you purchase a recurring annual organisation package (such as a Meeting Mastery Pro Edition bundle or Workspace Team subscription), it renews automatically at the end of each annual billing period until you cancel. You can cancel anytime online in the customer billing portal without contacting us. We send an email reminder before each annual renewal charge. One-off workbook licences (Starter and Standard) run perpetually for the version supplied and do not renew.

Changes to price. We may change our prices. A change never applies to a period you have already paid for, and we will tell you before it takes effect so you can cancel if you do not want to continue.

10. Cancellation and refunds

You can cancel a subscription at any time from your account settings, online, without contacting us and without giving a reason. Cancellation takes effect at the end of the period you have paid for, and you keep access until then.

Our refund position is set out in the Refund Policy, which forms part of these terms. It is in addition to your rights under the Australian Consumer Law, not instead of them.

11. Statutory consumer rights

Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law, including the statutory consumer rights, and any term that purported to do so does not apply to the extent it would.

Our goods and services come with statutory rights that cannot be excluded under the Australian Consumer Law. For a major failure you are entitled to a replacement or refund, and to compensation for any other reasonably foreseeable loss or damage. You are also entitled to have the goods or services remedied if the failure does not amount to a major failure.

12. Liability

Clause 11 comes first. Nothing in this clause limits anything you are entitled to under the Australian Consumer Law.

Subject to that, and to the extent the law allows:

  • we are not liable for loss that was not reasonably foreseeable, for loss of profit, revenue, goodwill, or for loss arising because you relied on a Concludo document without the review clause 8 requires,

  • our total liability to you in connection with the service, in any twelve month period, is limited to the amount you paid us for that service in that period, and

  • where the law allows us to limit liability for statutory consumer rights under Australian Consumer Law, we limit it to resupplying the service or paying the cost of resupply.

We are not liable for loss caused by your breach of clause 5 or clause 7.

13. Intellectual property

We own the Concludo name, logo, website, software, curriculum, templates and materials, and all intellectual property in them. Buying a product or subscription gives you a licence to use it, not ownership of it.

You may use our templates and materials in your own business and with your own clients. You may not resell them, republish them, or present them as your own product.

Concludo is an independent product. We are not affiliated with, endorsed by, or partnered with any device maker or meeting platform. Where we name one, we are describing what Concludo can accept as input.

14. Suspension and termination

You can stop using Concludo at any time and close your account from your account settings.

We may suspend or close your account if you breach these terms, if payment fails and is not corrected after we ask, or if we are required to by law. Except where the breach is serious or urgent, we will tell you first and give you a reasonable chance to fix it.

If we close your account other than for your breach, we will refund the unused part of anything you have paid in advance.

When an account closes, we delete your content in line with the Privacy Policy. Export anything you want to keep before you close it.

15. Changes to these terms

We may change these terms. If a change is significant and you have an account or a subscription, we will tell you before it takes effect. If you do not accept the change, you can cancel and we will refund the unused part of anything you have paid in advance.

Changes do not apply retrospectively to anything that has already happened.

16. Governing law

These terms are governed by the law of Victoria, Australia. You and we submit to the non exclusive jurisdiction of the courts of Victoria and the courts able to hear appeals from them.

If any part of these terms is unenforceable, the rest continues to apply.
